Event Marketing Manager (Contractor)

Mar 2016May 2017 · 1 yr 2 mos · Palo Alto, California

  • I report to the Director of Global Event Marketing and work with the marketing team, business units, and other internal teams to plan and oversee the execution of tradeshows and other corporate events, for the purposes of awareness and demand generation goals. I had to be more than just a “do-er,” this position required me to be an innovative “thinker,” an individual who can bring unique and fresh approaches to the above tasks. What has been critical to my success; is the generation of high quality leads, working with the aforementioned internal teams to manage the leads from sourcing through execution and follow-up, post-event. I was required to be able to anticipate needs, prioritize tasks, and meet deadlines working in a very fast paced organization with constant change. In addition, I drove innovation and best practices to improve existing processes, and maximize ROI. I was also responsible for tracking and reporting on tradeshows, and other corporate events.
  • Primary Responsibilities
  • Help internal teams plan, develop, manage and successfully execute live events.
  • Create and manage project timelines; ensure deliverables and milestones are met and act as the primary point of contact for these events.
  • Serve as the events ‘quarterback’, coordinating the entire event and working directly with the marketing team to plan and execute the customer experience.
  • Executing live event day tasks and ensuring success for all show related elements.
  • Manage any budgets associated with events
  • Currently on Contract

Duetto

Marketing Event Manager

Sep 2014Mar 2016 · 1 yr 6 mos · San Francisco Bay Area

  • My role at Duetto was an ever evolving one, as most meetings and event professionals experience. Initially it started with being involved with any and all things meeting and event related, to being focused exclusively on leading and driving process and definition of ROI of vertical market specific industry Conferences and Trade Shows. Upon joining, and as the company was only 2 years old, a tremendous opportunity presented itself around Trade Shows and showcasing their value. We have gone from everyone somehow magically getting there, to comprehensive show budgets, internal communication plans, external MarComm plans (pre and post show) and a 11 to 1 ROI.
  • Here are some precise data points to define the impact I was able to have:
  • Comprehensive conception, management, and reconciliation of corporate brand assets and presence at 100+ global events, annually.
  • Develop, drive and evaluate key seminars, conferences, field events, hospitality, complex trade shows or on-line events
  • Work across all business units to create continuity of brand in digital and live interactions.
  • Managed all major Social Channels (LinkedIn, Twitter, and facebook)

  • This was an exciting time to bring together (3) categories that can often be separate departments in a corporate setting. Vendor Management, Travel Management, and Meetings Management. It enabled me to not only implement a SMMP program, but also report how it strategically contributed to the bottom line of the business.
  • If you're managing a meeting, who better to negotiate your concessions with the property?
  • By managing the travel program as well, you know which properties not only value your business, but also which properties your internal clients prefer staying at which can drive attendance.
  • Below are a few more specifics.
  • Responsible for New Vendor Set-Up
  • Negotiation of Air, Hotel, and Rental Car Contracts
  • Supporting all Departments within 24 Hour Fitness
  • More details to come as my role evolves and solidifies.

Group X Instructor (24Cycle)

  • I like to ride outdoors. Both road and mountain. But sometimes the conditions just don't allow for you to be outside. If this sounds like you, then this is the class for you. I train indoors like I train outdoors.
  • If you have ever been to a "spin" class this will be a refreshing change. The principles of "spinning" (low resistance and extremely high cadence) have shown to cause injuries and excessive wear and tear on your joints over time. So 24Cycle is more like an indoor version of an outdoor bike ride. Another key difference is you will NEVER hear techno music in one of my classes.

  • This has been one of the best moves I have made for both personal and professional growth. I have gone from executing enormous (200,000 people) US events to now being able to proudly say I have planned meetings and events in eight countries on four continents! Below you will find a breakdown of my "official" job duties.
  • Create and manage all pre-planning logistics and on-site program operations including travelling on-site for the event
  • Client interaction – build strong client relationship, schedule and execute site inspections with client contact and event vendors
  • Create and manage key dates for all components of the event
  • Partner with registration manager to fulfil client needs or, in some cases, manage registration for smaller events.
  • Negotiate contracts and manage suppliers including hotels, DMC’s, off-site venues, and caterers, etc.
  • Write master event specification documents and distribute to vendors to ensure accurate delivery of contracted services
  • Write copy for event communication/collateral pieces
  • Partner with client to source event marketing and promotional campaign gifts items
  • Maintain accuracy and accountability of event budget, manage final billing and reconciliation
  • Some examples of what I've been busy with:
  • (1,200) Global Engineer R&D Meeting
  • (11) International City Sales Training Roadshow
  • (2,400) person Corporate Holiday Party

  • As the 6x Fittest Man in Meetings and Events, I speak about the WHY aka science behind incorporating wellness elements into meetings, conferences, and our lives.
  • I strive to be a Meeting or Conference Managers ideal speaker. My A/V demands are basic, my ego is small, and my ability to connect with the audience is second to none. During every session I keep track of as many faces as I can see to watch for that "ah-ha" moment. Strategy is great, but some people prefer tactical thinking so I strive to help people connect the dots so that everyone in the room walks away with something they can put into action.
  • I have provided trainings for the following organizations: ICCA, Hyatt, KFC, Northstar Meetings, MPI, IMEX, PreVue Magazine, Smart Meetings, Chamber of Commerce Mountain View, SBA, Fremont Union High School District, Santa Clara Chamber of Commerce, Edelman PR, Goodwill Industries, C.R.E.W. Silicon Valley, San Francisco Chamber of Commerce, Institute for Supply Management, TCN Worldwide, WIC, and the AFFI. • I like to think of this "job" as a mix between personal assistant, secret service, and field marketing. I scoured the internet for an official job description but couldn't find one so here is how I would describe it.
  • First and foremost you are there to ensure the professional representation of the brand. Which means making sure everything is tucked in that is supposed to be, no exposed skin, and everything is in all the right places so that the mascot stays consistent.
  • Second is the schedule and calendar. These guys are basically celebrities so you have to make sure they deliver on all appearance requirements during a game or outside appearance all while ensuring they are comfortable as case be and are rested and hydrated.
  • Lastly, but just as important as the other two is being the real eyes and ears for the mascot. Their vision and hearing is limited so you have to make sure they are aware of their surroundings and know when to get out of a situation.
  • In conclusion I used "'s when I said job above because it really is more fun, than work. The only real downside is when you make a little kid cry because there isn't enough time to take a picture as we are running from one side of the stadium to another.

  • Well radio still proves to never have a dull moment. I had worn every other hat within the radio world with the exception of sales. Don't knock it until you try it right!? Well I tried it, I can knock it! MAJOR kudos to all of those amazing people who have been able to make it in that world. It wasn't for me but I had fun along the way and learned even more. What a great experience and no regrets. Would I do try it again...nope. =)

  • Some might say we drive around an awesome lifted wrapped truck and hand out drinks. Well, I think there is more to it then that. With this remarkably large vehicle we get the Monster Energy brand noticed, stared at, and cameras pulled out for people to take pictures of the truck. You know those pictures go on facebook and they tell all their friends: "Hey guess what happened to me?"
  • "What?"
  • "The Monster truck showed up and I got a free Monster!"
  • "WHAT? No Way"
  • "Totally. It was awesome!"
  • THAT is what we do. We leave lasting positive brand impressions on people that get them to tell their friends how great Monster Energy is.
